Preparing for the Event

When and where is the NLM?

The National Leadership Meeting (NLM) will be hosted on September 29 – October 2, 2024, at the Aria Resort & Casino in Las Vegas, Nevada.

How do I book my hotel room?

If you have not already booked your hotel you may do so by emailing harborfreight@etherio.com with your full name (as it appears on your driver’s license), your email address, and both your check-in and check-out dates. Additionally, any cancellations should also be sent to harborfreight@etherio.com.

What should I wear to the meeting?

The meeting attire is business casual. You are not required to wear a store uniform or any other Harbor freight branded apparel. Jeans are acceptable; however, please ensure they are free of rips or tears. You may want to dress in layers as the hotel air conditioning can make it chilly. If you have additional questions, please refer to the Retail Dress Code Policy on The Hub or speak with your manager.

May I bring a plus-one, such as a spouse or significant other?

Yes, you may bring a plus-one who can share your room during the NLM. However, they are responsible for their own transportation and food costs. Also note that there are no NLM activities that are open to non-attendees.

Can I stay additional nights at the hotel before or after the NLM??

You may extend your stay as part of a personal trip before or after the NLM. If you call the hotel and tell them you’re with Harbor Freight, they will give you the lowest rate available and a discount resort fee of $39/night (normally $50). This discount is available for 3 nights before and 3 nights after the meeting. Note that the specific rate will fluctuate, and rooms are available on a first come, first serve basis.

To receive this rate, first book your NLM hotel reservation through the process outlined above. After you receive your reservation number call the Aria Resort & Casino at (866) 359-7757 to book your additional nights. When you book these additional nights tell them you are with Harbor Freight and give them your registration number. This will allow them to link your reservations so you won’t need to change rooms.

How should I adjust my schedule for the NLM Conference?

Due to the NLM Conference, you will need to adjust your schedule as follows:

  • Week 1 09/23-09/29: Schedule yourself for four days of work and/or Time Off
  • Week 2 09/30-10/06: Schedule yourself for two days of work and/or Time Off

Will Adjusted Earned Hours be impacted?

No, the store’s Adjusted Earned Hours will not be adjusted during the meeting. 

Arrival and Registration

When is check-in and check-out at the hotel?

Check-in is at 3:00 pm and check-out is at 11:00 am.

How do I check in to my room at Aria Resort & Casino?

Upon arrival at the Aria Resort & Casino, head to the registration desk located in the main lobby area for check-in. All Associates will need to provide a valid form of identification, such as a driver’s license or passport, along with your company credit card (P-Card) for incidentals.

Is mobile check-in available?

Yes, you may check in on your phone by using the MGM Resorts App using the registration number that was emailed to you. Check-in starts at 3 pm.

Can I leave my bags somewhere until my room is ready?

You can leave your bags with the bell desk.

Where do I go once I've checked into my hotel room?

After checking into your hotel room, you should pick up your badge at the NLM Registration Desk located at the Aria Convention Center West.

Where is the Registration Desk?

You’ll find the registration desk inside the Aria Convention Center West. It’s essential for all attendees to register in order to receive your conference badge. Registration begins at 11:00 am on Sunday and ends at 6:00 pm. In case you miss the registration window you will be able to pick up your badge at the beginning of the conference on Monday. All participants must have a badge to attend the conference.

What should I do if I hit the credit limit on my P-card?

Please reach out to PCard@harborfreight.com with your manager’s approval to request an increase.

Should I take a taxi or rideshare (Uber/Lyft) to the hotel from the airport?

Upon your arrival at Harry Reid International Airport (LAS), please arrange your own ground transportation using your corporate credit card (P-Card). We encourage you to use local taxis as they are more convenient and offer a flat rate to the hotel but rideshare apps such as Uber and Lyft are also available. Since most activities will take place at the hotel, renting a car will not be necessary. Remember that you’ll need your pin number to complete P-card transactions.

I won't be able to attend the NLM because of a prior commitment. Should I let someone know?

Let your manager know and email the Events Support Team at harborfreight@etherio.com so we can track that you aren’t able to attend.

During the NLM

What expenses should I put on my P-card?

Most expense questions can be answered by reviewing the Expense Management and Reimbursement Policy on The Hub.

Some examples of expenses that can be put on Your P-Card:

  • Baggage and other airline fees
  • Airport parking and transportation to and from the airport (including mileage)
  • Food and beverage while traveling on Sunday and Wednesday. The usual per diem of $100 will be enforced for the travel days of Sunday and Wednesday.

Your P-Card cannot be used for any other items, including:

  • Transportation outside of the meeting, such as taxi or Uber/Lyft for personal use in Las Vegas.
  • Meals on Monday and Tuesday since all food will be provided during the NLM. If you go to dinner with your team on Tuesday night your manager, or the senior-most person in the group, should put the entire meal on their P-card.

Will there be a meeting app?

Yes, a link to the meeting app will be emailed to you once we get closer to the event start date.

If I have dietary restrictions, where do I note them?

All dietary restrictions should have been noted already on the NLM Registration form. If you have a dietary restriction that was not shared during registration, please email harborfreight@etherio.com. You can also inform any member of the catering staff at the hotel during a meal.

What accommodations are available for attendees with disabilities?

We’re committed to accessibility for all Associates. If you need accommodations for a disability, please email the Events Support Team at harborfreight@etherio.com.

Will there be an Associate Merchandise Store at the NLM?

! There will be an Associate Merchandise Store offer Harbor Freight and NLM-branded merchandise. The store will be open throughout the event including on registration day. Shop early for the best selection of merchandise and sizes, and bring your credit card (cash will not be accepted).

Is there Wi-Fi at the hotel?

Free Wi-Fi is available at the Aria with no password required. The network name is MGMResorts-Wifi.

Can I take photos/videos and post about the NLM on social media

Feel free to share your thoughts about your NLM experience on social media platforms like LinkedIn. However, we kindly ask you to adhere to our Social Media and Networking policy, available on The Hub and in MyHFT. All content discussed during general sessions, development sessions, Q&A sessions, Expo sessions, and by our guest speakers should be treated as confidential business information and should not be posted on social media. No photos or videos should be taken during any of these sessions. However, everyone should feel free to take pictures of friends and colleagues outside of these sessions. In addition, our social media team will be posting a significant amount of content from the Expo and you should feel free to repost anything posted by our social media team.

Are there any evening events planned?

Sunday – Sunday is a free night so after you’ve registered and received your badge, you’re welcome to enjoy Las Vegas. Remember, NLM begins bright and early Monday morning so plan your evening activities accordingly. Please note: Our standard Expense Management and Reimbursement Policy still applies.

Monday – The Monday Night Social at the Aria starts with dinner at 6pm followed by live entertainment at 6:30pm. This will be an unforgettable event that you won’t want to miss.

Tuesday – Tuesday is a free night and a great chance to spend time with your fellow Associates. For this night only the per-person dinner limit has been raised from $50 to $100.

What can I do on the Tuesday Free Night?

While the agenda is packed from Monday morning through Tuesday afternoon, you are free to enjoy the city Tuesday evening after 5:30 pm.

If you would like to spend time with other Associates, consider making dinner reservations in small groups soon. Vegas can be busy and moderately priced dinner options can fill up quickly. As a thank you for joining us at this special event, the expense limit for Tuesday night’s dinner will be increased to $100 per person. This amount includes food, drinks, taxes, fees and tips, so please review restaurant menus with this in mind.

Vegas has an unlimited number of other activities to offer. If you choose to enjoy a show, live music, casinos, or anything else, you may also want to reserve tickets soon. Please note that the cost for these activities cannot be expensed.

There are lots of great dinner choices that are walking distance from the Aria. If you choose a restaurant farther away, transportation costs to and from dinner on Tuesday night can be charged to your P-card. Transportation costs to and from the airport should also be charged to your P-card. If you’re with other Associates, sharing a taxi, Uber or Lyft with multiple people is a terrific way to reduce expenses.

Are there any specific behavior expectations during the meeting?

All associates are expected to maintain professionalism, be respectful, and always be courteous to ensure a positive experience for everyone. Associates must abide by all Harbor Freight policies for the duration of their time in Las Vegas for this event. While we understand that alcohol may be consumed and that the event is taking place in Las Vegas, please remember that your entire time in Las Vegas is a work event – this includes the meetings as well as all dinners, and time spent in the evenings in Las Vegas. Associates should not be intoxicated while in Las Vegas.

Departures

Where do I bring my luggage if I have a later flight on Wednesday?

If you have a later flight on Wednesday, you can bring your luggage to the bell desk, and they will store it for you.

How do I categorize my NLM-related expenses in Concur?

For Expense Type, select an option in the “National Leadership Meeting” section such as Travel Airlines – NLM, Travel Meals – NLM, etc.
